Privacy Policy
Effective 23 October 2026 · Last updated 23 October 2026
Your privacy is important to us. It is Intellitech I.T. Solutions Limited's policy to respect your privacy and to comply with applicable law and regulation regarding any personal information we may collect about you, including across our website, intellitechitsolutions.com (the "Website").
Personal information is any information about you which can be used to identify you. This includes information about you as a person (such as your name and contact details), your devices, and information about how you use a website or online service.
This policy covers the Website and enquiries made through it. Personal data we process while delivering services to our clients is covered by our contracts and data processing terms with those clients. Where the Website links to third-party sites and services, those sites have their own privacy policies, and this policy does not apply to your activities after you leave the Website.
Who we are
Intellitech I.T. Solutions Limited ("Intellitech", "we", "us") is the data controller for personal information collected through the Website. We are a company registered in England and Wales (company number 05965200). We have not appointed a Data Protection Officer, as we are not required to; privacy questions are handled by our management team using the contact details at the end of this policy.
Information we collect
Information we collect falls into two categories:
- Voluntarily provided information: information you knowingly give us, for example when you submit our contact form or email us.
- Automatically collected information: information automatically sent by your device when you visit the Website.
Log data
When you visit the Website, our hosting server and our content delivery and security provider (Cloudflare) automatically log standard request data, which may include your device's IP address, browser type and version, the page requested, the referring page, and the date and time of the request. If an error occurs, technical details about the error may also be logged. This data is used to deliver the Website, keep it secure and diagnose faults. While it may not identify you on its own, it could be combined with other data to do so, so we treat it as personal information.
Device data and website analytics
We use Cloudflare Web Analytics to understand how the Website is used. It records the page visited, the referring site, your approximate country, and your browser, operating system and device type (for example desktop or mobile). It does not use cookies, does not store anything on your device, does not fingerprint your browser and does not track you across other websites. We see aggregate statistics only.
To protect our contact form from automated abuse, we use Cloudflare Turnstile, which checks signals from your browser and device to tell people apart from bots. Cloudflare uses this information only to provide that protection, not for advertising.
Cookies
The Website does not use advertising or analytics cookies. Cloudflare may set strictly necessary cookies to protect the Website and the contact form from malicious traffic. These do not require your consent. If we introduce any non-essential cookies in future, we will update this policy and ask for your consent first where the law requires it.
Personal information you give us
When you contact us through the Website or by email, we collect:
- your name and work email address;
- optionally, your organisation name and telephone number;
- the topic of your enquiry and the content of your message; and
- any other information you choose to include in your message or follow-up correspondence.
Please do not send us special category data (such as health information) or sensitive credentials such as passwords through the contact form.
How we use your information
We only collect and use your personal information when we have a legitimate reason for doing so, and only collect information that is reasonably necessary for that purpose. We use it to:
- respond to your enquiry and communicate with you about it;
- discuss, propose and, where you engage us, provide our services;
- operate, secure and improve the Website, including protecting it from spam and abuse; and
- comply with our legal and regulatory obligations.
We do not sell your personal information, use it for automated decision-making or profiling, or add you to marketing lists because you have made an enquiry. We will not send you marketing emails unless you have asked to receive them, and we never knowingly direct marketing at anyone under 18.
Legal bases for processing
Under the UK GDPR we rely on the following lawful bases:
- Steps before entering into a contract, and performance of a contract: when you ask us about our services, we need your contact details and enquiry to respond and, if you become a client, to deliver the services.
- Legitimate interests: responding to general enquiries, operating and securing the Website, understanding how it is used through aggregate statistics, and establishing or defending legal claims. We have considered these interests against your rights and are satisfied they are not overridden.
- Legal obligation: where we must keep or disclose information by law, for example financial records required by HMRC, or in response to a court order or lawful request from an authority.
- Consent: only where we specifically ask for it, for example if you ask to receive our newsletter. You can withdraw consent at any time; this does not affect processing that has already taken place.
Who we share your information with
We share personal information only with service providers who process it on our behalf under written contracts and appropriate security measures, with our employees and contractors who need it to respond to you, and where required by law. The providers we currently use are:
- Cloudflare, Inc.: content delivery, security, bot protection (Turnstile), processing of contact form submissions, and cookieless website analytics.
- Microsoft (Microsoft 365): business email, where enquiries are delivered and answered.
- Our UK web hosting provider, which hosts the Website's files and server logs.
If our business or its assets are sold or transferred, personal information may be transferred to the buyer, who would be required to use it in line with this policy.
International transfers
Our Website is hosted in the United Kingdom and our email is provided by Microsoft from UK and European data centres. Cloudflare operates a global network, so some data (such as request logs) may be processed outside the UK, including in the United States. Where personal information is transferred outside the UK, we make sure it is protected by UK adequacy regulations (including the UK Extension to the EU-US Data Privacy Framework where the recipient is certified) or by the International Data Transfer Addendum to the EU standard contractual clauses.
How long we keep your information
- Enquiries that do not lead to work with us: up to two years after our last contact, then deleted.
- Enquiries that lead to a client relationship: as part of our client records for the duration of the relationship and up to six years afterwards, as needed for legal, accounting and tax purposes.
- Server and security logs: short periods set by our hosting and security providers, typically no more than a few weeks.
- Website analytics: aggregate statistics only.
When information is no longer needed, we delete it or anonymise it so it no longer identifies you.
Security of your information
We protect personal information using measures appropriate to the risk, including encryption in transit, multi-factor authentication, least-privilege access controls and the same security practices we apply for our clients. However, no method of electronic transmission or storage is completely secure, and we cannot guarantee absolute security.
Your rights
Under UK data protection law you have the right to:
- Be informed about how your information is collected and used, which is the purpose of this policy.
- Access the personal information we hold about you, by making a subject access request.
- Rectification: have inaccurate or incomplete information corrected or completed.
- Erasure: ask us to delete your information in certain circumstances, for example where it is no longer needed for the purpose it was collected or you have successfully objected to our processing. This right is not absolute.
- Restrict processing: for example while we check the accuracy of your information or consider an objection.
- Object to processing based on our legitimate interests, and to any direct marketing at any time.
- Data portability: receive information you gave us electronically in a commonly used, machine-readable format, or have it sent to another organisation where technically feasible.
- Withdraw consent where we rely on consent.
There is normally no fee. We will respond within one month of receiving your request, which may be extended by up to two further months for complex or numerous requests; we will tell you if this applies. We may need to confirm your identity before acting on a request. To exercise any of these rights, use the contact details below.
Data breaches
If a personal data breach occurs, we will investigate it promptly. Where required by law, we will report it to the Information Commissioner's Office within 72 hours of becoming aware of it, and inform you without undue delay if it is likely to result in a high risk to your rights and freedoms.
Complaints
If you have a concern about how we handle your personal information, please contact us first and give us as much detail as you can. We will investigate and respond in writing, setting out the outcome and any steps we will take. You also have the right to complain to the Information Commissioner's Office (ICO), the UK supervisory authority for data protection, at any time:
- Website: ico.org.uk/make-a-complaint
- Helpline: 0303 123 1113
Changes to this policy
We may update this policy to reflect changes to our business processes, accepted practice, or legislative or regulatory requirements. Any changes will be published on this page with a new "last updated" date. If a change significantly affects how we use information you have already given us, we will tell you directly where we can.
